Login & Access

I can log in, but I don’t see expected menus or options. Why?

Menu visibility in OwlXRM depends on your assigned role and permissions. Some menus, actions, or screens are available only to specific roles.

If you believe something is missing, contact your administrator to verify your access level.

Why does OwlXRM behave differently for different users?

Different users may have different roles, configurations, or permissions. This affects which data, actions, and options are visible or editable.

This behavior is expected and helps ensure users only access what is relevant to their responsibilities.


Visibility & Permissions

Why are some fields or options disabled?

Disabled fields usually indicate one of the following:

  • You do not have permission to edit the field
  • A required condition has not been met
  • The record is in a read-only or completed state

If you are unsure why a field is disabled, check the record’s status or your access level.

Why can’t I see some dropdown values?

Dropdown values may be restricted based on your role, configuration, or the context of the record.

Data & System Behavior

What happens if I select an incorrect value?

Some selections influence validations, workflows, or reporting. Selecting an incorrect value may cause issues that require correction later.

When unsure, review the glossary definitions before proceeding.

What happens after I save or submit a record?

After saving or submitting, the record may change status. Depending on workflow rules, some fields may become partially or fully read-only.

Additional validations or downstream processes may also be triggered.


Editing & Changes

Can I edit information after saving or submitting?

This depends on the record’s current status and your permissions. Certain fields become read-only after submission, approval, or processing.

If changes are required afterward, administrative assistance may be needed.

Can I delete a record I created?

Deletion rules vary based on record type and permissions. In some cases, records cannot be deleted and can only be deactivated.

I see an error message. What should I do?

Read the error message carefully and resolve any highlighted issues. Most errors indicate missing information or validation problems.
